Microsoft is rolling out a long-requested Outlook feature that lets you hand over ownership of a meeting to a colleague. The first phase is reaching Microsoft 365 organisations worldwide from late September through late October 2026.
- What it is: A new "Change organiser" option for eligible meetings and recurring series. The person you choose must accept before ownership moves to them.
- Who is affected: Users of Outlook on the web, the new Outlook for Windows and the Teams calendar. Classic Outlook for Windows is not supported.
- What is included now: Phase one covers in-person (non-online) meetings only. Teams meetings will follow in a later phase, which will create a new Teams link for the new organiser.
- What changes for attendees: Internal attendees are updated silently. External guests receive a cancellation and a new invitation they will need to accept. The previous organiser is not automatically kept as an attendee.
- Why it matters: This makes staff leave, role changes and offboarding much easier, since recurring meetings no longer need to be cancelled and recreated.
- Action needed: No admin setup is required. The feature is on by default. We recommend updating your offboarding checklist and letting staff know how it works.
