Google Workspace: Better Visibility on Shared Drive Files

Google has added new reporting fields that make it easier for administrators to see which files in Google Drive are shared outside the organisation.

  • What it is: Drive Inventory Reporting, an admin tool that exports Drive file data to BigQuery, now includes clearer external sharing signals that combine direct shares, group shares and public links into one view.
  • Who is affected: any Google Workspace business using Drive Inventory Reporting to monitor file security.
  • What the risk is: without this visibility, it is easy to lose track of which files have been shared outside the business, especially through group memberships.
  • What to do: the feature is off by default. Administrators need to enable "External sharing calculations" under Drive inventory report settings in the Admin console.

We recommend enabling this setting and reviewing external sharing exposure, particularly for any business handling sensitive client data.
